The AI Assistant
Turn it on, choose a provider and understand what it can answer.
The AI Assistant answers plain-language questions about your school — attendance, fees, results and more — drawn from your own data. It has a free built-in mode, and can optionally use an outside provider for richer answers.
Turning it on
Open the assistant settings
From settings, open the AI Assistant configuration.
Enable it and choose who can use it
Switch it on and pick which roles may use it — for example admins and teachers, or parents too.
Save
Save. The assistant appears for the roles you allowed.
Built-in vs an outside provider
Out of the box the assistant uses a free built-in engine that answers straightforward questions from your database — no key or account needed. If you want more conversational answers, you can connect an outside provider (such as Gemini, OpenAI or Claude) by choosing it and entering an API key.
An outside provider needs a valid API key and, on shared hosting, outbound internet access. If a connected provider ever fails, admins see a short note explaining why (for example an invalid key), and the assistant falls back to the built-in engine so it keeps working.
What it can answer
The assistant is scoped to what each role may see. Ask it things like today's attendance, a class-wise attendance breakdown, fee collection, or a student's results. A parent asking the same assistant only ever gets answers about their own child.
Privacy and honesty
The assistant only reports what is in your school's data and within the asker's permission. It does not invent figures — if it does not have something, it says so rather than guessing.
Encourage staff to phrase questions naturally: “class 8 attendance today,” “this month's fee collection,” “class-wise attendance.”
